Okay, so you’re getting married or you’re helping your son, daughter or a friend with some of the plans for their special day. You’ve been tasked with transportation and you have no idea what you’re doing or where to start. First…RELAX. No, really…RELAX.

You’re not alone…we’re here to help. You’re going to be just fine.

We know you’re not a logistics specialist. We know you don’t know the area as well, the timing that is needed, the number of vehicles you’ll require or whether or not the venue can accommodate the vehicles you’ll need. The great thing is, you don’t need to know any of that. You are the person we are here for. All you have to do is tell us you want some help and the First Step is complete.

The Second Step is to tell us what you do know. No matter how much or little it is, this is our starting point. We say “our” starting point because we’re with you now and we’re going to get this. (This is also a good time to tell you that all of your vendors should be doing this for you. If not, they’re not worth your time). SO, you probably know the date, you may know the time of the wedding and you may know where the wedding and/or reception will be. This is a great start. Just tell us what’s in your brain. 

Here are just five basic things that are helpful…

1. Date of the Wedding
2. Time of the Wedding
3. Location of the Wedding and Reception (if different)
4. Approximate number of guests
5. Time the Reception concludes

If you know these things, you’re doing fantastic and the Second Step is complete.

The Third Step is on us. This is the step where we may ask you for additional tidbits or ask you to try and get some additional simple information that will be most beneficial as we walk through the planning stages with you. You may not know the information right now and that’s OK. We can still step through some scenarios with you. We have to tell you up front that we always have an eye on costs. Weddings are too expensive as it is, so we will always try to find ways to save where we can. If money is no object and you want the moon, we can do that too. Just know that our default is to watch your costs.

The Fourth Step is on you, but it’s easy! This is about getting your feedback, good or bad about what you like and don’t like. Over the almost 70 years that we have been doing this, we have seen it all. However, every client wants things a little different than the next. Every wedding is different and there are no two alike. These are our services and expertise managed by your expectations and what you want us to do.

We’ve also developed some tips below that tell you what to think about as we move through this process with you. These are just a few of the things to keep in mind that most people don’t think about. You’ll feel like a real planner once you’ve read them and you’ll start to get that empowered feeling that you know exactly what you’re doing.

The Wedding/Reception Venue

Some venues are simply not accessible for larger vehicles. The owners may want to keep their venue small because that’s what they like or they may not have the funds to expand their footprint to accommodate large vehicles. Regardless, this is one thing that is out of our control. Some venues are perfect, but most are not. Most will require at least some logistical “tweaking” to make them work. Be prepared to compromise.

Think of Everyone

Your tendency is to think about transportation for our guests and that’s normal and logical, but we have to think about transportation for everyone. The Wedding Party will need to get there before the guests and then we will need to include the Wedding Party in our final numbers at the end of the evening or they’ll be left stranded. Don’t leave yourself short. 

Transportation RSVP's

This information, though well-intended, is absolutely worthless. Aunt Betty has told you she and Uncle Ted are going to drive to the wedding then they see Aunt Edna in the hotel lobby. They haven’t seen each other in years and they decide they will ride all the motorcoach together to “catch up”. Or your college roommate Paul get's a little too ripped at the reception and wisely leaves his car at the venue that night. It never fails. In every instance where you have been given numbers from transportation RSVP’s, the number is ALWAYS too low and people are left without seats. Don’t waste your time. 

 Herding Cats

Getting your Wedding guests onto or into any vehicle is like herding cats. They never do exactly what you want or need them to do. Plan for it and count on it. If you want your vehicle to depart the hotel by 4:30 PM, you must tell your guests that it will depart no later than 4:25 PM. Inevitably, Cousin Ed will come down and tell the driver that his wife is almost ready and just to wait a few more minutes for her. We can either leave them behind or hold everyone else (including you) up.

The Perfect Number of Seats

This is (of course) impossible to calculate. You will never get it exactly right, so don’t kill yourself trying. Our motto is…”It is better to have the seats and not need them, than to need the seats and not have them”. No one has EVER complained that there were empty seats aboard the motorcoach to, or from their wedding. When this rule is ignored and they finally realize they didn’t allow for ample seating, it is too late. They only thing that we can do for you at that point is to be embarrassed for you.
